Call for tender: travel agency services

PEFC International has launched a call for tender to identify a qualified travel agency to manage its global travel needs. The selected agency will provide reliable, cost-effective, and sustainable travel solutions for staff and governance members based in Geneva, across Europe, and worldwide.

Supporting global collaboration

The appointed agency will be responsible for arranging domestic and international flights, accommodation, transportation, group and corporate travel, and itinerary planning. Additional services include concierge support, visa assistance, and 24/7 customer care to ensure smooth and uninterrupted travel experiences.

Focus on value and sustainability

Applicants must demonstrate a strong record in providing travel management services to international organisations or NGOs, with the ability to offer competitive rates, multi-quote proposals, and access to preferential NGO travel deals. In line with PEFC’s values, sustainability will be a key element of the evaluation process, with agencies encouraged to propose eco-conscious travel options.

Eligibility and requirements

To be considered, travel agencies must:

• Be legally registered and licensed in Europe.
• Demonstrate several years of relevant experience.
• Provide a dedicated account manager and tailored travel solutions.
• Comply with international travel regulations and standards.

Tender submissions must include a cover letter, company profile, methodology, pricing proposal, references, proof of insurance, and a copy of certification/licence.

Evaluation and timeline

Proposals will be assessed against five criteria:

• Experience and qualifications (30%)
• Cost (25%)
• Service offerings (20%)
• References and reputation (15%)
• Sustainability and compliance (10%)

The deadline for submission is Tuesday, 30 September 2025, at 17:00 (CEST). Submissions should be sent electronically to sandrine.laffitte@pefc.org. The successful agency will be contracted from 9 November 2025, for an initial two-year term, renewable by agreement.
